1. Who is responsible

Charlie’s Web Design is a trading name of PHK MEDIA LTD, a company registered in England and Wales, number 10380323.

PHK MEDIA LTD is the controller of enquiry and customer information for Charlie’s Web Design. Contact us using the email or registered office above for a data-protection request.

2. Website enquiries

The form asks for your name, email address, business or project name, service interests, package starting point, timing and message. Town or service area and your current website are optional. We use this information to understand your request, contact you and prepare a proposal.

You can review and edit your details before sending. When you select Send enquiry, the details are transmitted to FormSubmit, our form-delivery service, for delivery to info@phkmedia.co.uk. The service also receives technical information involved in that request, such as an IP address and the referring website.

The website does not save a draft in cookies, local storage or session storage, and does not add your enquiry to a separate customer database. The review remains in the open page. If you save a copy, the file is stored on your device. Your browser may provide its own autofill or page-restoration features.

Please do not send passwords, payment credentials or sensitive personal information through the form. Sending an enquiry is optional and does not place an order. You can email us instead.

3. Why we use your information

  • To reply to your enquiry and take steps you request before an individual contract: the pre-contractual and contract lawful basis.
  • To communicate with business contact people, prepare proposals, manage relationships and protect our service: legitimate interests in operating the business, balanced against your rights.
  • To deliver an agreed project and support: performance of an individual contract or legitimate interests for business contact information, as appropriate.
  • To keep necessary accounting and regulatory records: legal obligations.

We do not automatically add enquiries to a marketing list, sell personal information or use it for automated decisions with legal or similarly significant effects. We do not ask for blanket consent to handle an ordinary enquiry.

If you give us another person’s contact details for a project, only provide what is necessary and let them know. Where required, we explain the source and our use to that person.

4. Website requests and storage

The site is hosted on Cloudflare Workers. Hosting and security services receive technical request information, including the requested page, IP address, browser information and request time, to deliver and protect the site.

The application does not use analytics scripts, advertising pixels or a visitor-profile database. Fonts, scripts and images are served with the site. The café preview is an embedded page from this same website.

External project websites are opened when you choose their links and have their own notices. See the cookie notice for hosting security and external services.

5. Providers and access

Access is limited to Charlie, authorised people who need information for the work and necessary providers. These include FormSubmit for form delivery, hosting and security services, company email services, accounting services and professional advisers. We may disclose information where required by law or necessary for a legal claim.

FormSubmit processes the submitted fields for email delivery. You can read FormSubmit’s privacy information. We do not claim that every provider stores data only in the UK.

We assess applicable overseas processing and the required safeguards when choosing or changing a service. Contact us for information about the providers used for your project and any applicable international-transfer arrangements.

If we process personal data on behalf of your organisation as part of a website project, the agreed instructions and data-processing terms govern that work. Your organisation’s own privacy information applies to its visitors.

6. How long we keep information

  • Enquiries that do not become a project: normally up to 12 months after the last meaningful contact.
  • Necessary contracts, invoices and project administration: normally six years after the relevant financial year, with any longer legal requirement or unresolved claim considered separately.
  • Working files and access: reviewed at handover or when support ends; unnecessary personal data and access are removed.
  • Technical and security information: retained only for the provider’s operational and security needs, including investigating abuse, maintaining backups and resolving faults.

We consider the purpose, statutory duties, active support and any unresolved dispute before deleting a record. Provider backup copies follow their own deletion cycles. Files you download and copies in your own email account are controlled by you and your providers.

7. Your rights

Depending on the circumstances, you can ask to access, correct or erase your information, restrict its use or receive a portable copy. These rights have legal conditions and exceptions. Where consent is used, you can withdraw it without affecting earlier lawful processing.

Your right to object

You can object to our use of your personal information based on legitimate interests. Tell us about your circumstances so we can consider the request.

Email info@phkmedia.co.uk with your request. We may ask for reasonable information to verify your identity. We normally respond within one month, subject to lawful extensions or exceptions, and explain if a right does not apply. Requests are normally free.

You can complain to the Information Commissioner’s Office. Contacting us first is welcome but is not a condition of that right.

8. Your choices and updates

We need a reply address and enough context to respond usefully. If you become a client, contract and invoice information may be required; we explain it before you commit.

Portfolio concept tools do not send quote or appointment requests, reserve appointments or take payments. Do not enter sensitive information into demonstrations.

We update this notice when the relevant arrangements change. A website update does not itself authorise an incompatible new use of your information. The date above identifies this version.
